Schedule a Microsoft Teams call with recording consent
Who's this for?
To help your company comply with data and privacy regulations, Gong hosts a consent page that prompts meeting participants to give their consent to be recorded before joining a Microsoft Teams meeting.
What do I have to do? Download an add-in and connect to Microsoft Teams in order to schedule Microsoft Teams calls, and make sure you capture participants' consent to be recorded.
Once you're set up, Gong will schedule the meeting in Microsoft Teams on your behalf and associate the meeting link with the unique Gong consent page link. The link to the consent page will be added to the meeting invitation instead of the direct meeting link, ensuring that participants visit the consent page before proceeding to the meeting.
This one-time download and set-up enables you to schedule Microsoft Teams meetings with a Gong consent page.
-
If instructed to do so by your Gong tech admin, download the add-in for your calendar, and follow the instructions:
-
If prompted, sign into your Gong account, and give your consent to allow Gong to schedule meetings on your behalf.
-
Log into Microsoft Teams. You can now schedule meetings, as described below.
To set up meetings in Microsoft Teams, ensure your Gong profile is set up correctly.
-
You must be connected to Microsoft Teams in order to ask meeting participants for their consent to be recorded. The available consent page options depend on your company consent page settings.
-
Set your dynamic link to the consent page. Microsoft Teams does not support static links. If you prefer to use static links, you can create a personal meeting link and paste it as a static link to use for all your meetings.
-
Meetings run in Microsoft Teams can have a maximum of 25 participants. There might be inaccuracies in identifying the speaker in meetings with more than 25 participants.
Follow these steps to schedule Microsoft Teams meetings that ask meeting participants for consent to be recorded via the Gong consent page.
-
Create a new calendar event.
-
Do one of the following:
-
Outlook: Click the three dots icon to open the scheduling assistant and add-ins options, and then select Gong > Add a Gong Meeting.
-
Google: Select Gong Meeting in the Add Conferencing drop-down.
A link to the Gong consent page is added to your meeting.
-
-
Verify that no link to Microsoft Teams appears in the meeting invitation. (This ensures that meeting participants can only join the meeting via the Gong consent page.)
-
Finish setting up the calendar event, and send the invite to your participants.
When the meeting begins, participants will follow the link in the invite to join the meeting. First, they'll be taken to the Gong consent page. The contents of this page, and whether or not giving consent is compulsory to join the call, depends on your organization settings. After giving consent, participants are redirected to the Microsoft Teams meeting.
